Fleet vehicles are subject to accelerated wear due to frequent use and extraordinary exposure to corrosive substances. Although it’s reasonable to expect them to be serviceable for just a few years, making them last for as long as possible is key to decreasing their life-cycle and annual TCOs.
Adopting both preventive and proactive maintenance strategies significantly contributes to equipment longevity, but it’s not everything. Asset care is a daily obligation, and fleet managers can promote these six small practices to delay vehicle retirement.
1. Inspecting Before Getting Underway
The value of routine walk-arounds and system checks before operating machines is common sense, yet many drivers occasionally skip them. The monotonous nature of these inspections can be a pain to those swamped with time-sensitive tasks.
Digitalise the workflow to compel employees to evaluate their commercial vehicles properly at the start of their shift. eDVIRs are more convenient to fill out than paper documents. 2. Idling When It Counts

The negatives of aggressive acceleration from a complete stop and abrupt brakes go beyond fuel inefficiency. They cause severe mechanical wear due to metal-on-metal friction.
Reckless manoeuvres can damage the drivetrain due to jarring spikes in momentum, stressing transmission components and gears. They cause the clutch to overheat and wear out more quickly in manual vehicles, grind down tyre threads fast, and rapidly degrade brake pads and rotors.
Invest in operator training to instil desired behaviours in employees from the start. Install hardwired or plug-and-play telematics units to detect and address unfavourable driver behaviour early. Recognise and reward model employees through gamification. Positive reinforcement fosters a supportive approach to behaviour change, making it easier to get everyone on board with initiatives promoting equipment longevity and safety.
4. Making Decluttering a Habit
Cleanliness and organisation reduce the risk of road accidents. Many heavy-duty equipment operators already deal with multiple blind spots, and cluttered dashboards further obscure their view and affect their reaction time.
Loose items on the load bed can also be perilous. They’re airborne hazards when the driver hits the road. These unsafe objects can cause considerable damage to the vehicle and endanger other motorists.

Ensure the vehicle’s integrated HVAC systems are functioning properly to promote driver comfort and avoid the need for aftermarket accessories. Provide adequate cargo management tools and enforce strict penalties for leaving stray items on the load bed.
5. Keeping Work Environments Organised
Crowded floor space is a safety issue, and the equipment is among the first casualties. Modern industrial vehicles use advanced technology to reduce operator blind spots or operate autonomously. Obstacles block cameras, interfere with sensors and disrupt SLAM systems, resulting in errors.
Stationary or moving impediments produce visual overload. Operators are more likely to miscalculate pivot points, rear-end swings and turns when processing more information than necessary, increasing the risk of vehicle-to-object and vehicle-to-pedestrian collisions. Avoiding floor hazards forces operators to accelerate and brake frequently, spend more time idling and move more slowly.
Clear the floor by removing all unnecessary items. Put unused equipment in storage, discard outdated inventory and dispose of waste. Manage clutter immediately before it causes an accident. Tidy up high-traffic areas like entrances, walkways, loading docks and exits, as these zones are more prone to dirt accumulation and wear. Handle dust, debris and spills promptly, as they can infiltrate the equipment and compromise its inner components.
6. Washing off Contaminants
Fleet vehicles exposed to erosive or abrasive cargo need washing more frequently. Hazmat can be flammable, while liquids and sharp debris from rubbish can corrode or bruise metal surfaces, respectively. Mud, wet cement and aggregate can permanently ruin vehicle bodywork when hardened.
Clean affected surfaces to prevent noxious buildup and preserve the structural integrity of your assets. Follow these tips when washing the vehicle body:
- Be mindful of the heat to prevent thermal shock or sudden changes in temperature, water spots, and soap stains.
- Use appropriate tools and products to do the job efficiently.
- Presoak heavily soiled areas to remove heavy grime and stubborn stains more easily.
- Rinse from top to bottom to avoid recontaminating cleaned areas.
- Avoid excessive water pressure to protect the body paint, decals, rubber seals, sensors, mirrors and glass.
- Dry wet surfaces immediately to avoid leaving mineral deposits, especially on the windshield, which can reduce visibility.
